The General Data Protection Regulation (GDPR) applies to personal data. Within our Academy we process data on pupils, parents, staff and academy Councillors. We follow the six data protection principles that require that personal data shall be:
- Processed fairly, lawfully and transparently.
- Obtained only for one or more specified and lawful purposes and shall not be further processed in any manner incompatible with that purpose(s)
- Adequate, relevant and not excessive in relation to the purpose(s) for which it is processed.
- Accurate and, where necessary, kept up to date.
- Not kept for longer than is necessary for that purpose(s).
- Kept secure, i.e. protected by an appropriate degree of security.

How we protect personal information
North Mead Primary Academy is part of The Mead Educational Trust (TMET).
We collect and use personal information about pupils, families, staff, Academy Councillors and other members of our community in order to provide education, keep children safe, meet our legal responsibilities and operate the school effectively.
We are committed to handling personal information lawfully, fairly, transparently and securely.
Our responsibilities
When we process personal information, we follow the principles of UK data protection law.
Personal information should be:
- used lawfully, fairly and transparently
- collected for clear and legitimate purposes
- limited to what is necessary
- accurate and kept up to date where required
- kept only for as long as necessary
- stored and handled securely
These principles underpin the Trust’s data-protection policies and procedures.
What information might we hold?
Depending on the individual and the purpose, school records may include information such as:
- names and contact details
- pupil information and educational records
- attendance information
- assessment and attainment information
- SEND information
- safeguarding information
- medical information
- behaviour information
- photographs or video where appropriate
- information about parents and carers
- staff and recruitment information
- governance information
Schools hold substantial amounts of information about pupils as part of their educational records.
Why do we use personal information?
We may process personal information in order to:
- educate and support pupils
- monitor progress and attendance
- safeguard children
- provide appropriate SEND and pastoral support
- communicate with families
- manage admissions and transitions
- meet statutory reporting requirements
- manage staff and recruitment
- operate financial and administrative systems
- maintain the safety and security of the school
- fulfil legal and regulatory responsibilities
The lawful basis for processing will depend on the information being used and the purpose for which it is required.
Privacy notices
The Mead Educational Trust publishes separate privacy notices explaining in more detail how information is collected, used, stored and shared.
The Trust currently publishes these alongside its wider data-protection policies.
Photographs and video
Photographs and video can play an important part in celebrating learning and school life.
North Mead and TMET have arrangements in place governing how images of pupils may be taken and used. The Trust publishes pupil consent information relating to photography and video and states that parental permission is sought before images showing pupils are used on the school website.
Parents and carers should contact the school if they have questions about their child’s photography or media permissions.
Sharing information
There are circumstances in which we need to share information with other organisations.
These may include:
- The Mead Educational Trust
- the Department for Education
- Leicester City Council
- health services
- SEND services
- safeguarding partners
- social care
- examination, assessment or educational providers
- other organisations where there is a lawful reason to share information
Information is only shared where there is an appropriate legal basis and where it is necessary for the relevant purpose.
Accessing your information
Individuals have rights in relation to their personal information.
Depending on the circumstances, these can include rights to:
- be informed about how information is used
- access personal information held about them
- request correction of inaccurate information
- object to or restrict certain processing
- raise concerns about how information is being handled
Under UK GDPR, pupils have a right of access to their personal information. The arrangements for parental access to educational records differ according to the type of school, so requests relating to academy pupil records should be handled through the appropriate data-protection process rather than assuming a separate automatic parental right of access.
Subject Access Requests
A Subject Access Request (SAR) is a request by an individual to access personal information held about them.
TMET publishes a Subject Access Request procedure as part of its data-protection documentation.
If you wish to make a request, please contact the school or follow the current TMET procedure linked below.
Data breaches
North Mead and TMET have procedures for identifying, reporting and responding to personal-data breaches.
The Trust publishes a Data Breach Policy setting out how these incidents are managed.
Data retention
Personal information is not kept indefinitely.
TMET’s Data Retention Policy sets out how long different categories of information should normally be retained and when they should be securely disposed of.
CCTV
Where CCTV is used, its operation is governed by the Trust’s CCTV Policy and relevant data-protection requirements.
Freedom of Information
The Trust also publishes a Freedom of Information Policy, Publication Scheme and ICO Model Publication Scheme.
These explain how information about the Trust and its academies can be requested and what information is routinely made available.
